Poster Guidelines

This page contains information for all Poster presenters to help you prepare for your participation at the 44th IHF World Hospital Congress. We recommend you bookmark this page for future reference.

All poster presenters are responsible for the design, production, printing and transportation of their posters.

POSTER FORMAT AND CONTENTS

Size and layout orientation: Portrait A0 (width 841mm x height 1189mm). The layout will need to be in portrait page orientation (vertical orientation where height is longer than the width) as this is the way the poster boards will be set up at the venue.

Font: Text should be of sufficient size that it can be easily read from a distance of 1.5 meters. Use upper and lower case for general content, as all-capital text is difficult to read. Avoid using mixtures of type/font styles. We suggest to left justify text, as it is easier on the eyes of the reader.

We recommend:

  • Title: 80-100 pt in a clear and solid font such as Arial Black
  • Heading: 48-60 pt in a clear font such as Arial
  • Body text: 26-32pt in a clear font such as Arial with single spacing

Language: All posters must be in English.

Contents: Your poster must cover the material as cited in the abstract. The text should be concise and easy to read throughout. It should therefore be limited to the most important information only, leaving other details and explanations for face-to-face dialogue. Your poster should condense your central idea so that the audience can grasp its overall message at first glance and then be able to follow the poster’s text and graphics to understand the idea more fully.

Please include the following details:

    • Title
    • Sub-theme
    • Authors (Only presenting author will be listed on the program. Co-authors should be acknowledged on the poster.)
    • Main contents
    • Contact details (Website, email, and/or contact number)

The viewers of your poster may not necessarily work in your specific field—but they may be interested in your topic. We suggest avoiding jargon and acronyms specific to your field but if necessary, then explain the terms.

Graphics: We suggest using graphics (photos, tables, illustrations).

Colors: Use colors sparingly, with effect:

    • Use colors for emphasis, differentiation, and interest
    • Avoid large areas of bright colors—they will detract from your print and pictorial content
    • Choose background and foreground colors that are contrasting and complement each other—for example, black or dark blue on light grey or white (it’s better to keep the background the light color).

Sponsorships or advertisements: Reference to possible sponsorship is possible but no advertisement will be accepted.

Poster material: We recommend the poster paper thickness of 100-180 GSM.

Printing: All poster presenters must take care of the production of their posters and bring them to the Congress. International presenters may opt to have them printed in Barcelona. The following are the recommended shops:

Transportation and storage: It is recommended that posters are transported in a clearly labeled cylindrical poster container. Presenters are responsible for the storage of the container while the poster is being displayed.

DIGITAL POSTER

A digital copy of your final poster in A4 size PDF format should be emailed to Trish Torres by 8 October 2021. Digital posters will be made available in the virtual event platform during the Congress. They will also be published on the IHF website after the event.

POSTER DISPLAY

Location and displaying on your poster board: The number of your poster will be sent to you closer to the event date. Please ensure that your poster is displayed on the correct poster board. Velcro tapes will be provided onsite to affix your poster to the display board.

Schedule of putting posters up: 8 November 2021, time to be confirmed closer to the event.

Schedule of taking posters down: 11 November 2021, after lunch and before 3:30pm. Any posters left at the exhibition area after 3:30pm will be taken down and will not be stored.

Display time: Posters will be displayed during the whole duration of the Congress. It is recommended that the presenting author be available to stand by their poster during the coffee and lunch breaks. A special jury will be reviewing the posters and the Best Poster will be awarded during the Closing Ceremony.

POSTER REVIEW

If you have not presented a poster before, or if English is your second language, the World Hospital Congress Scientific Committee can review draft posters ahead of the Congress. To take advantage of this offer, please contact Trish Torres with a draft of your poster no later than 31 August 2021.

CONGRESS PROMOTION

We highly appreciate it if you can promote your involvement in the Congress in social media, your website, blogs and other communication channels. If you will be posting on social media, don’t forget to use the hashtag #IHFBarcelona. Please see the available graphic and logo for download here. ON ARRIVAL

Once you arrive at the Congress venue, please proceed to the Registration Desk to collect your name badge and delegate kit. You can proceed to the poster area afterward to put up your poster.

VIRTUAL PRESENTERS

Those who won’t be able to travel and attend in-person can still present virtually. We are still finalizing the modalities for virtual presenters but will have more information about this by July.
