Parallel session speaker guidelines

This page contains information to help parallel speakers prepare for your participation at the 47th World Hospital Congress. We recommend you bookmark this page for future reference.

Session format

Presentation format and time allocated: Please refer to the format and time provided by the IHF Team. Rehearse to ensure your presentation is within the time allocation.

Language: Your presentation and PowerPoint slides must be in English. Portuguese-English simultaneous translations will be made available during the sessions.

Presentation slides

Contents and format:

  • Please check with the IHF team if slides are required for your session. If you will have slides, make sure they are created using Microsoft PowerPoint.
  • Slides must be in 16:9 (widescreen) format for them to be displayed on the screen properly.
  • Reference to sponsorship is possible but no advertisement will be allowed.

Design (recommendations):

  • Use high contrast colours, light text on a dark background or vice versa.
  • Minimum font size = 24.
  • Maximum 7 lines per slide, and 8 words per line.
  • Remove all timings from transitions within the presentation, select ‘On Mouse Click’ to advance.

Submission of slides: Speakers will be required to come to the Speaker preview room onsite, to save their presentation prior to their session. Saving your presentation there will serve as an indication to the session chair that you are present at the Congress.

Copy your slides and all the assets (e.g. videos) to a folder; copy them either to a USB device or online storage (such as OneDrive, Google Drive, DropBox, or iCloud). All videos must be placed in the same folder as your PPT file.

We recommend that speakers save their presentation at least 2 hours before the start of their session. A member of the technical team will assist in saving the presentation, along with assisting in any minor changes, if required.

Opening times and location of the Speaker preview room will be shared in due course.

Speakers may opt to submit their slides in advance to until 2 September. If the file is large you can send it using WeTransfer, Dropbox or Google Drive. After 2 September, we kindly request you to bring your slides to the Speaker preview room onsite.

Sharing of slides: PDF versions of the slides will be made available on the Congress app. If you prefer not to share your slides, please indicate it in your Speaker form.

Audio visual requirements

In the interest of running seamless transitions between presentations, speakers cannot use their own laptops. All slide presentations will be saved to the main computer.

The session room will be set up with:

  • Laptop (Windows, not MAC)
  • LCD Projector and screen in 16:9 ratio
  • Lectern with microphone
  • Handheld microphones
  • Slide clicker with pointer
  • Sound system

External links: We suggest all external links are embedded into your PowerPoint presentation to avoid any delays and issues.

There will be an AV technical team present to assist you. If you have any special technical requirements, please let the IHF know by emailing  by 19 August 2024.

On arrival

Once you arrive at the Congress venue, please proceed to the Registration Desk to collect your registration badge. You will then need to make your way to the Speaker preview room to upload your presentation.

Please be at your session room at least 15 minutes before your session to make sure everything is in order and be prepared should there be last-minute programme changes.
