Media at Congress

Information for professional media outlets

IHF media partners, professional journalists, photographers, broadcasters, and news agencies (both local and international) are welcome to request accreditation to cover the World Hospital Congress.

  • Accreditation process

    The number of passes available for accredited media is restricted, and they will be allocated at the discretion of the Congress media contact.

    The accreditation process for professional media outlets is open. Requests can be made until 2 October 2026.

    Email the Congress media contact:

    • details of your media outlet
    • your press card or credentials
    • evidence of recent coverage/content you have produced.

     

    Accreditation requests submitted after the deadline or on arrival at the Congress may not be considered.

    Notifications of accreditation and instructions to register for a media pass will be provided by 2 October 2026.

  • Badge collection

    The Congress media contact will provide instructions to register for a media pass. Registration must be completed in advance.

    Accredited media must wear their badge at all times on site at the Congress. Badges can be collected from the Congress registration desks at the venue.

  • Photography, filming, and recording rules

    Media may attend all sessions in the programme with the exception of invitation-only or sign-up events. Access to these sessions may be granted, by request to the Congress media contact.

    Media may not film or photograph event speakers, delegates, exhibitors, etc. unless verbal consent is secured from the subjects.

    Media may not directly request photography, video recordings, quotes or comments from any government officials (national or international) at the event. For official requests please contact the key contact.

    The use of drones and livestreaming equipment is not permitted at the Congress venue.

  • Interview requests

    We encourage interview requests and will facilitate the process to arrange them. Please review the high-profile speakers listed on the Congress website.

    Email the Congress media contact:

    • details of the speaker(s) you wish to interview
    • any date or time requirements and restrictions
    • a brief profile of your media company (location, audience, reach) for the speaker to consider your request
    • examples of recent coverage/content you have produced.

     

    Note that interviews with official delegates (such as government officials) must be arranged directly through the delegate’s communications office unless otherwise stated.

    Note that the Congress organizers cannot provide translation services.

Media and communications staff accompanying speakers and delegates

Communications staff, press officers, photographers, videographers, and social media teams with official delegations or high-profile participants are welcome to attend the World Hospital Congress as accompanying persons.

  • Registration process

    Delegates can purchase accompanying person tickets for their media and communications colleagues.

    They will have access to the Welcome Reception, refreshments, lunch breaks, and the exhibition area. Access to the scientific sessions is not included except for specific sessions where the delegate is a named speaker in the programme.

    They will not have access to media centre facilities, sign-up or add-on events, e.g. hospital visits, masterclasses, or the IHF Awards Gala Dinner.

    Please inform the Congress media contact in advance that you will have accompanying media staff.

  • Permissions and restrictions

    What accompanying media staff can do

    • Accompany their delegates
    • Capture content of their delegates in approved areas
    • Attend approved sessions

     

    What accompanying media staff cannot do

    • Access media centre facilities without authorization
    • Interfere with conference operations
    • Occupy professional media positions unless accredited accordingly
    • Attend main programme sessions
    • Capture content on WHC stages (plenary hall, session rooms, IHF Awards, or Spotlight stage in Exhibition Hall) without permission
    • Capture content of any other delegates without permission

     

    Any special requests beyond these permissions and restrictions must be sent to the Congress media contact. They will be reviewed, with no guarantee of approval.

  • Badge collection

    Accompanying person badges can be collected from the Congress registration desks at the venue.

* Accompanying persons can only attend the specific session where the delegate they are accompanying is a named speaker in the programme.

** Tickets to the IHF Awards can be purchased separately. All media persons must seek permission from the Congress media contact before capturing content at this event.

Official Congress photos and video content

The official Congress photographers and videographers will capture content in all sessions throughout the Congress, in accordance with the terms and conditions of participant registration.

A selection of photographs and a highlights video package will be made available on the website after the event. The photographs can be downloaded by participants to use in their own communications about their involvement at the event. They can also make use of a link to the highlights video.

Requests for photographs from specific sessions can be sent to the Congress media contact, but please note that they will not be available during the event.

Support to hire a photographer or videographer

Delegates can request support to hire a local photographer or videographer to accompany them at the Congress by contacting the Congress media contact.

The last possible date to submit these requests is Friday 2 October.

Frequently asked questions

  • Can freelancers apply for accreditation?

    Professional journalists with evidence of recent content published by media outlets that are relevant to the profile of the IHF network are welcome to apply for accreditation, at the Congress media contact’s discretion.

  • Can a delegate's photographer attend?

    Delegates can purchase accompanying person tickets for their media and communications colleagues.

  • Can media attend closed sessions?

    Accredited professional media can access the full programme, except for sign-up and add-on events.

    Media teams accompanying delegates cannot access the scientific sessions, except for specific sessions where the delegate is a named speaker in the programme.

  • Are interviews guaranteed?

    We encourage interview requests and will facilitate the process to arrange them. We cannot guarantee that all interview requests will be successful.

  • Can equipment be shipped in advance?

    Any special requests, such as shipping equipment in advance, must be sent to the Congress media contact. They will be reviewed, with no guarantee of approval.

  • Can badges be transferred?

    Badges are assigned to named individuals and must only be worn by that person.

    To request the transfer of an accredited professional media registration, contact the Congress media contact.

    To request the transfer of an accompanying media staff badge, contact the Congress registration team.

  • Is livestreaming permitted?

    The use of drones and livestreaming equipment is not permitted at the Congress venue.
