Awards Session presenter guidelines

Important reminders

The Awards Session is scheduled on 22 October, 10:50 – 11:50 KST.

Please ensure that the presenter has been registered for the World Hospital Congress. One complimentary registration has been provided to your organization as a winner of the IHF Awards. Use the code provided by the IHF to secure the complimentary ticket. For registration assistance, please email Eleonor Angeles at eleonor.angeles@ihf-fih.org.


Key information at a glance

The following provides a summary of the key information and timelines. Presenters are still required to review the full guidelines for complete details.

  • Presentation format: Oral presentation (5 minutes maximum)
  • Slides: PowerPoint (16:9), recommended maximum of 12 slides
  • Language: English (presentation and slides). Presenters based in Korea may present in Korean; however, slides must be in English.
  • Register by 31 August 2026
  • Submit slides
    • In advance via email (optional) by 16 October 2026
    • At the Speaker preview room at least 2 hours before your session
  • Arrive at your session room at least 15 minutes early
  • Personal laptops are not permitted; all presentations will run from the main computer

Session format

Presentation format: PechaKucha

A PechaKucha presentation is a fast-paced presentation format designed to keep things concise, engaging, and visually focused. The term “PechaKucha” (Japanese for “chit-chat”) refers to a presentation style where 20 slides are shown for 20 seconds each. In our case, because the Awards session features a lot of speakers in a short amount of time, we are reducing to 15 slides for 20 seconds each, totalling 5 minutes per presentation.

Key features:

  • 15 slides x 20 seconds each = 5 minutes total.
  • The PPT slides are set to advance automatically, keeping the speaker on pace.
  • Focus is on visual storytelling rather than text-heavy slides.
  • Encourages concise, creative, and energetic delivery to keep the energy high and the audience engaged.

Language: Presentations and PowerPoint slides must be in English.


Presentation slides

Contents and format:

Your presentation should align with the content of your abstract, focusing on the most critical information and using slides to clearly support your message.

Please ensure that the following requirements are met:

  • All presentations must be created using Microsoft PowerPoint.
  • Slides must be formatted in a 16:9 (widescreen) layout to ensure proper display.
  • It is recommended that you do not exceed 15 slides.
  • References to sponsorship are allowed; however, advertisements are strictly prohibited.
  • Any external links must be embedded directly within your PowerPoint presentation to avoid delays during your session.

Design recommendations:

  • Use (e.g., light text on a dark background or vice versa).
  • Keep font size large and legible—minimum 24 pt for body text, larger for headings.
  • Limit slides to a maximum of 7 lines of text to avoid overcrowding.
  • Keep sentences short and clear, ideally 10–20 words per sentence.
  • Use simple, meaningful visuals (e.g., charts, diagrams, icons) to support key points—avoid decorative images with no purpose.
  • Allow plenty of margin space around text and visuals to give a clean, uncluttered look.
  • Apply a consistent and limited colour palette that reflects the event’s visual identity or theme. Avoid using too many colours.
  • Use graphics over text where possible to show trends, comparisons, or processes.
  • Avoid overcrowding slides—include only what supports your key message. Use one idea per slide where possible.
  • Enable automatic slide transitions. To set your slides to automatically advance, follow below instructions:
    • Go to the Transitions’ tab at the top of the screen.
    • Find the Advance Slide’ section on the far right.
    • Uncheck the box for On Mouse Click’.
    • Check the box for After’ and type in 20 seconds.
    • Click Apply to All’ to set the same timing for every slide.

 

Instructional Video: We encourage you to watch a short instructional video that provides practical, easy-to-follow tips to help you present your research clearly and confidently at an international congress.

Submission of slides:

  • Onsite submission: Please save your presentation at the Speaker Preview Room at least 2 hours before your session. This will signal to the session chair that you are present at the Congress.
    • Ensure that all presentation slides and related assets (e.g., videos) are saved in a single folder on a USB drive.
    • A member of the technical team will assist in saving your files, and making minor changes, if needed.
  • Advance submission: If you prefer, you may submit your slides in advance via email to eleonor.angeles@ihf-fih.org no later than 16 October. After 16 October, we request that you bring your slides directly to the Speaker Preview Room onsite.

Slide sharing: PDF versions of your slides will be made available via the Congress app. If you prefer not to share your slides, kindly indicate it by emailing eleonor.angeles@ihf-fih.org.


Audio visual requirements

For seamless transitions between presentations, speakers are not permitted to use their own laptops, as all presentations will be run from the main computer.

The session room will be equipped with the following:

  • A Windows laptop (Mac devices will not be used)
  • An LCD projector/screen in a 16:9 aspect ratio
  • A lectern with a microphone
  • Handheld microphones
  • A slide clicker with pointer
  • A sound system

An AV technical team will be available to provide support. If you have any special technical requirements, you must inform eleonor.angeles@ihf-fih.org no later than 18 September 2026.


On arrival

  • Upon arrival at the Congress venue, you must proceed to the Registration Desk to collect your registration badge.
  • After collecting your badge, you should go to the Speaker Preview Room to upload your presentation.
  • You are required to arrive at your session room at least 15 minutes before your scheduled session to allow time for final checks and any last-minute programme updates.
